AGM webcast or hybrid AGM?
There are two common ways to extend an AGM beyond the room. An AGM webcast lets shareholders watch the meeting live, and often submit questions, while formal participation and voting happen in the room or by proxy beforehand. A hybrid AGM goes further. Shareholders attending electronically can be counted as present, ask questions and vote in real time, usually through your registrar's or an e-voting provider's platform. Which is right depends on your articles of association and your shareholder base. We'll work with your company secretary, registrar and legal advisers so the format fits.
Our guide, how to run a hybrid AGM, covers the practical points to plan early.
Security and governance come first
AGMs are formal, minuted meetings, and the technology has to respect that. Access to the stream can be limited to verified shareholders and their proxies using shareholder reference numbers, unique links or registrar sign-in. Questions are logged with time stamps. The meeting is recorded in full. Our platforms are hosted in a secure UK data centre, and every viewer's attendance can be reported afterwards.
Questions, fairly and visibly handled
Shareholder questions are often the most sensitive part of an AGM. We provide a pre-meeting question portal and a live question feed, with a moderation desk working alongside your company secretariat. Approved questions reach the chair on a lectern screen or tablet, worded as submitted, so remote shareholders are treated the same as those in the room. Our team also handles the audio for any questions taken by phone or video.
A calm crew in the room
We've filmed and streamed AGMs, results announcements and investor updates for listed companies including FTSE 100 and FTSE 250 businesses. Our crews are discreet, wear show blacks or your branded clothing, and work to the chair's running order. There's autocue for formal resolutions, careful framing for the board table and clear audio throughout. Rehearsals include the awkward scenarios too, such as a lost connection, a late resolution or a question that needs to be held, so everyone knows what happens next.
From the boardroom to the conference hall
Whether your AGM is held in a London hotel, at your headquarters in the Midlands or anywhere else in the UK, we bring everything needed to stream it: cameras, sound, lighting, staging if required, encoding, connectivity and the shareholder platform. We can also provide full event production for the in-room meeting.
